You can share any file or folder stored in File Storage with other Data Workbench users or entire workspaces. This article walks you through how to share, how access levels work, and where shared items appear for the recipient.
Share a file or folder
In File Storage, find the file or folder you want to share.
Select the three dot menu next to the item.
Choose Share.
Enter the recipient’s email address, or click the people icon to select a workspace.
🔒 You can only share with workspaces in the same tenant as your workspace.
Control whether recipients can re-share
When sharing a folder, you can allow the recipient to re-share it within the Data Workbench environment:
Tick the checkbox labeled
✅ Allow recipients to directly share this folder with others
When enabled, the recipient can share the item with others but only with the same access level they received.
🔐 This setting only controls re-sharing within the Data Workbench platform.
Choose the right access level
When sharing, you must assign an access level:
Read access
o Allows viewing and downloading only.
o The recipient cannot make changes or generate SAS keys.
Read and write access
o Allows uploading new files, deleting existing ones, and generating SAS keys.
Where shared items appear
Once shared, the recipient will find the item in the Shared with me tab under Data Catalogue.
📝 If shared with a workspace, its members will see the item in File storage under the Shared by other workspaces tab.
Important: Sharing is limited by your own access
⚠️ You cannot share a file or folder with a higher access level than you have. Your sharing permissions are limited by your own access rights.
