How to manage files and folders shared with your workspace

In Data Workbench, workspaces within the same tenant can share files and folders with each other. These shared items appear in your File storage under the Shared by other workspaces tab.

On this tab, you see:

  • The name of each item

  • Who shared it

  • Who else has access

To manage a shared item, select the three dots menu next to it.

You can:

  1. Download the file or folder

  2. Share it with your partners (if the original sharer allowed it)

  3. Generate access keys

  4. Delete access for all members in your workspace

Your ability to perform these actions depends on your role and access level.

  • Download, share, and delete access can be done by both Workspace Admins and Workspace Readers, depending on their permissions. For details, see Members and access levels.

  • Generate access keys (SAS keys) can only be done by Workspace Admins with read and write access. For details, see To generate SAS tokens.

Adding shared items to your workspace

If you are a Workspace Admin, you can add shared files or folders directly to one of your own workspaces for easier access and management.

To do this:

  1. Go to Data catalogue and open the Shared with me tab.

  2. Open the shared item.

  3. Select the button that reads Add to my workspace.

  4. Choose the workspace where you want to add the item.

The file or folder will then disappear from your Shared with me tab and appear in your main File storage tab, under Shared by other workspaces.
